Where is my luggage?
The most common question on embarkation day.
The most visible operational failure on embarkation day
Most cruise lines still track luggage with handwritten tags and radio calls. No timestamps, no sequence control, no way to prove a piece was ever received. The result is a constant, low-grade search, and when a bag genuinely goes missing, the guest is the first to notice.

First in, last out

Guests who arrive early often receive their luggage last. No sequence tracking, no aging alerts, no way to detect it.

Zero traceability

Once a bag leaves the drop-off point, nobody knows where it is until a guest calls reception.

No data for improvement

Without timestamps and volume data, bottlenecks stay invisible and improvements are based on gut feeling.

Top-tier guests wait like everyone

Guests in your best cabins expect a premium experience, but their luggage arrives at the same unpredictable pace.

Supervisors work blind

No live view of flow rates, backlogs, or luggage that lost its way inside the ship. Problems surface too late.

Wrong ship issue

Two ships at the same pier, crossing luggage flows. Handwritten tags cannot prevent luggage from boarding the wrong vessel.

Luggage that was never on board

A guest is certain they handed their bag over. It was still at home, or in the car. The ship is searched for two days and the line pays compensation, for a piece that never existed in the system.

Lost after the last scan

A piece is checked once and then nothing. Nobody knows whether it made it on board or where it stopped. The search starts, and never quite ends.

Wrong bag, wrong cabin

A suitcase is delivered to the wrong cabin. The guest does not notice, or does not report it, and now two cabins are missing luggage.

The Luggage Journey
Built around the vacation journey
Embarkly follows every bag across the whole cruise, from the printed tag on boarding day to the sequenced unload before the flight home. Four stages, one system.
01

Print

Every bag gets a QR-coded tag at drop-off, with ship, cabin and sequence encoded. One scan replaces the handwritten label.

02

Track

Each checkpoint adds a timestamp at terminal, ship receiving and cabin delivered. A full chain of custody, end to end.

03

Notify

The guest is told the moment their luggage reaches the cabin. No calls to reception, no waiting in the dark.

04

Sequence

Guests register their departure time. Embarkly builds the unload order so early flights come off first and later flights wait.

One dashboard, every stage

Crew and reception see every bag, every checkpoint and every exception live, from a single screen.

When a guest asks, reception already has the answer
Tags go missing. Suitcases arrive damaged. Some pieces get pulled for a security rescan. Today that means a guest standing at the desk while a search starts from zero. Embarkly logs every exception the moment it happens, so reception opens the dashboard and answers on the spot.

Missing tag

A piece loses its tag in transit. Crew log it with a photo and its last known checkpoint, so reception can match the bag back to a cabin instead of launching a ship-wide search.

Damaged luggage

Crew flag damage with a photo the moment it's spotted. Reception sees it before the guest even asks, and can offer a resolution proactively, not defensively.

Security rescan

A piece pulled for re-screening is logged with its status. Reception can tell the guest exactly where the bag is and when to expect it, instead of “we'll look into it.”

Without Embarkly

The guest comes to the desk. Reception radios the luggage team. Everyone waits. The answer, if it comes at all, is vague.

With Embarkly

The guest comes to the desk. Reception opens the dashboard. The answer is specific, and it takes seconds.

Why Embarkly
Built for cruise, not adapted from logistics
Every design decision is made with the pier in mind, not retrofitted from airline baggage handling or hotel check-in systems. Fast Lane SLAs, cross-ship protection, turnaround sessions, offline-first capture: straight from the cruise ops playbook.

EU data residency

All data lives on servers in Germany. GDPR-compliant by design, no US processors for operational data.

Offline-first at sea

Full turnarounds run without WiFi. Local-first storage, sync when back on land. Zero data loss.

Purpose-built for cruise

Cabin numbers, Fast Lane, cross-ship protection, forward/aft routing. Written from the SOP, not adapted.

Enterprise controls

DPA + GDPR today. SOC 2 on the roadmap. Role-based access, audit logs, SSO on request.

Built for speed at the pier. Built for insight at HQ.

3-Second Capture

Built-in numpad, no system keyboard. Cabin number + piece count in 4 taps. One hand, any weather.

Available

Real-Time Alerts

Instant notifications when luggage exceeds delivery targets or flow rate drops below threshold.

Available

Offline-First

Works without WiFi or LTE. Scans stored locally, synced when connectivity returns. Zero data loss.

Available

Common questions from cruise operators
Short answers to what you're most likely going to ask us first.
How do we onboard a new ship and train the crew?

Typically 2–3 days from kick-off to first live turnaround. Day 1: we configure the ship profile, checkpoints and Fast Lane cabins. Day 2: crew briefing and device setup. A checkpoint user needs just 45 minutes, since the capture screen is only a keypad, a piece count and a submit button. Day 3: we shadow the first turnaround on-site. Supervisors get a separate 90-minute dashboard walkthrough.

Does it really work offline at sea?

Yes. Every scan writes to the device's local database first and syncs to the cloud when connectivity returns. A full turnaround can run with zero WiFi. Queued scans upload automatically once back on land. No data loss, no duplicates.

Does Embarkly integrate with our existing PMS?

PMS integration (Fidelio Cruise, Infinity, MXP, OPERA) is on our roadmap and available as a customisation today for pilot partners. The free-pilot package runs fully standalone. Embarkly delivers value from day one without any integration work on your side.

Where is our data hosted and who owns it?

Everything runs in the EU, primary region Germany. Data never leaves EU jurisdiction. It is GDPR-compliant by design, with no US-based processors for operational data. You own the data: scans, sessions and KPI history are yours, exportable any time as CSV or via API. If you end the subscription, we return your data and delete our copies within 30 days. Contractual guarantees in the MSA.

What does the free pilot include and what happens after?

A full 30-day pilot on one ship: all software features, unlimited crew users, live dashboard, real-time alerts and session reports. With Software + Devices we also ship pre-configured rugged phones at our cost for the pilot duration. No credit card, no commitment. If it works, we scale fleet-wide with tailored pricing based on ship count, module mix and hardware needs. If it doesn't, we pack up and return the devices. No lock-in, no minimum term at this stage.
